We currently have a career opportunity for an experienced, reliable and task oriented Executive Assistant. The Executive Assistant will make a difference to DDC by performing a number of administrative tasks. The ideal person will be self motivated, professional and capable of managing a wide variety of tasks in their workload.

 

Duties & Responsibilities


Executive Administration and Office Coordination (80%)


  • Support the Executive Leadership Team with various administrative tasks, including calendar management, travel, credit card reconciliations and expenses
  • Coordination of Board meeting administration as needed
  • PowerPoint, Excel, Word and related tasks as needed
  • Answer phones, redirect calls, take messages
  • Professionally greet, manage & direct visitors to DDC facility
  • Arrange catering / serving for client visits, meeting management, tour scheduling
  • Maintain meeting rooms to ensure professional image
  • Maintain an overall professional look to the facility especially as related to visitor areas
  • Coordinate with IT to ensure phone / IT functionality in meeting rooms
  • Purchase & maintain general office and kitchen supplies
  • Coordinate in/outbound couriers and ensure that all company wide correspondence is sorted and distributed promptly and accurately
  • Assist with the entry and accuracy of orders and work closely with purchasing and production to ensure requirements are communicated accurately and delivered on time
  • Coordinate meetings, events, conference & video calls, presentations
  • Booking and coordination of travel arrangements
  • Monitor office expenditures and manage all office contracts and suppliers
  • Coordinate with office suppliers and vendors
  • May perform other duties as assigned.


Sales & Marketing Support (20%)

 

  • Provide pre-trip and logistics coordinating support for events like seminars, trade shows and client meetings
  • Coordinate marketing materials, promotional items including any purchasing, preparation and shipping of sales kits and welcome packages, gifts, and other collateral
  • Manage and support the inventory of sales collateral, both physical and digital
  • Manage the day to day posting of all social media content, including LinkedIn, Facebook, Instagram and YouTube
  • Prepare reports on social media analytics and website analytics
  • Ensure content on the DDC website is current and up to date e.g. press releases and media interviews
  • May perform other duties as assigned.

 

Minimum Qualifications

 

  • College diploma
  • 5+ years’ experience supporting a senior leadership team as an executive assistant
  • Advanced technical skills –
    • MS Word, MS Powerpoint, MS Excel, MS Outlook
    • Calendar management
    • Meeting and event planning management
    • Presentation preparation and co-ordination
    • Knowledge of Visio & Wordpress, an asset
    • Ability to become familiar with other company specific programs (CRM)
  • French is an asset
  • Able to lift, pull, push items up to 50lbs occasionally
  • Occasionally local vehicle travel

Hours of Work, Work Environment and Potential Travel


  • Full Time
  • 37.5 hours per week and some overtime occasionally
  • Valid Class-G driver’s license in good standing and regular access to a personal vehicle required
  • Outdoor work, exposure to cold, heat or other weather elements
  • Work on ladders and use a variety of handheld tools
